These are the enrollment files - this gets you enrolled into an HSA account.
Existing HSA file enrollment file
We have been receiving Coastal Bend enrollment files for a while now. If its an existing file like Coastal Bend as long as Mary follows the same format we are ok. I will check it just to be sure. It's always I or F for Individual or Family. The division name as long as it is a unique name compared to other ISD's we are good.
NEW enrollment FILE (this is for a new school being added - new to this benefit). >>PREFERRED<<
These files come on Tuesday's
I've attached an example file layout. We ALWAYS check out new files. If Baquete was a new enrollment file we ALWAYYS verify the new file. @Erin Queme helps me get the new file because it is ftp'd and I can't get to ftp'd files myself. The file name ALWAYS has the word TEST in the name. I verify the file is good. Sometimes they leave out family/individual or some other data - which is why we verify it. John Sanchez will then tell Mary, Chris D., or Joy (Allsynx) the file is good or if the file is bad. If you know a new file is coming it is important to give John Sanchez a heads up so I can verify it. We need to have a date when the real file will be coming, and the name needs to be fixed so that TEST does not appear in the name when the real file is sent. Test files should come in advance of the real date so they can be reviewed. Getting TEST removed from the name is always a struggle, but that's how it's supposed to work. This one is important: @Erin Queme needs about 2 weeks ideally for new files. Erin has to create a bunch of new jobs to the process so that the file can be processed properly.
Another scenario (NOT PREFERRED), come on Wednesday's.
Castleberry, Chico, DeSoto and Lubbock Cooper are come via First Financial Group of America. (FFG)
Someone (the BSA) has to retrieve these files manually, which is why it's not preferred. The good news is these files don't come very often. The only files that really need to be processed are files that contain an Add. Sometimes we get files that don't have A's and there is no need to process them. Unfortunately, within the last 4.5+ years that I've been here it has grown to a total of 4 ISD's now . Lubbock Cooper was once an automatic file and has turned into this method.
